The rule: if you’ve done it twice and it’ll happen again, it deserves an SOP (standard operating procedure — a written recipe someone else can follow without asking you questions). The reason most people don’t write them: writing documentation is miserable. So don’t write it. Talk it.
Step 1 — the brain dump
Open your AI app, hit voice input, and just explain the task like you’re training someone on their first day. Ramble. Backtrack. Include the “oh and one more thing” moments — those are usually the most important steps.
Step 2 — the SOP builder prompt
Turn my messy explanation into a clean SOP:
- TITLE and PURPOSE (why this task matters, one line)
- WHEN TO RUN IT (trigger or schedule)
- BEFORE YOU START (access needed, tools, files)
- THE STEPS - numbered, one action per step, with the exact click/command/phrase where I mentioned one
- EDGE CASES - a "if X happens, do Y" table from every exception I mentioned
- QUALITY BAR - how the person knows they did it right
- ESCALATE WHEN - the situations where they must stop and ask me
Then list what's still ambiguous and interview me one question at a time to fill the gaps.That last step is where the SOP gets good: Claude finds the holes you can’t see because you’ve done the task a hundred times.
Step 3 — the reality test
Hand it to the person (or do it yourself next time) following ONLY the doc. Every place they get stuck, that’s a bug — fix the doc, not the person.
Step 4 — the library
Keep them in one folder, named SOP - [task] - v2. When a process changes, update the doc the same day. An SOP library is the closest thing a small business has to a superpower: it’s what makes vacations possible and hiring survivable.
What to SOP first
(Highest return): the task you dread weekly, the task only you know how to do, the task you last explained twice in one month, and anything a new hire will ask about.
